PASSWORDS

A password is a combination of characters that you enter every time you log into SAP. Your password prevents other people from accessing or changing your work. You cannot log onto SAP without it.

When creating a password:

  • You must use 8 digits
  • You may use any combination of alphanumeric characters, including letters,  numbers and punctuation marks
  • You may not re-use any of the last five passwords that were previously used 

Do not begin a password with:

  • A question mark (?)
  • An exclamation point (!)
  • A blank space
  • Three identical characters (for example, bbbat123)
  • Any sequence of three characters contained in your user ID (for example, man, if your user ID is Friedman)


PERSONAL SETTINGS

By selecting the PERSONAL SETTINGS icon, you can set up your purchase requisitions according to your personal requirements, and you can specify that the document overview is to be compiled automatically when the function is started. The variant chosen before you last exited the function is used to select the documents. If you wish to use the document overview at a later point in time, you must select the desired documents using a variant. Furthermore, you can specify for the period from which the purchase requisitions are to be taken (e.g. only yesterday's purchase requisitions). You can also decide either to enter the organizational data manually or to choose data from a list field. 

Use the DOCUMENT OVERVIEW ON icon to change the layout of your documents. Click the Select Layout drop down box and select Change Layout. Select the columns you want to appear on your overview screen by clicking on the black arrow. From the same drop down menu, select Save Layout. Check the User-Specific box. Change the Layout name from 1DEFAULT to a new name. Insert a new Description. Click the green arrow. (When setting defaults, such as Layout Changes, DO NOT make any changes to the default setting named "1DEFAULT". Changes made to this setting will change the settings globally). From the same drop down menu select Manage Layout. Highlight the line item with your new layout name; click the Define Default Setting icon and click SAVE. 


CUSTOMIZE DISPLAY OPTIONS

You can customize the SAP window and change the appearance of various elements of the SAP window by using the layout menu icon at the far right of the standard toolbar:

Customize the SAP window (for example, set the display options for quick “infos” and system messages, or return to the default window size).

  •  Enable or disable automatic tabbing between fields
  •  Define where the cursor should appear when you click a field
  •  Create a hard copy of the current screen
  •  Color settings
  •  Sound and animation settings

Creating Favorites

To set up frequently used SAP transactions as favorites, insert the item from the SAP standard menu.

 

Use Drag and Drop :  Select a menu item and drag it to the desired position in your Favorites list.

OR

Use the Menu Bar : Select an item in the user menu; choose Favorites ® Add. The new item appears at the end of your Favorites list.

OR

Use Inserting a Transaction : On the standard menu bar, choose Favorites ® Insert. The followin dialog box appears:

 

 

Enter the transaction code and click the green checkmark. The new item appears at the end of your Favorites list and is automatically labeled with the transaction name.

Managing Favorites

SAP allows you to organize your favorites by:

  • Ceating folders in your Favorites list
  • Moving, renaming, or deleting favorites and folders

Inserting Folders

Choose Favorites / Insert folder. A dialog box appears. Enter a name, and click the green checkmark. The new folder appears below the currently selected favorite.

Renaming a Favorite or Folder

Select the favorites or folders you want to rename. Choose Favorites / Change. A dialog box appears. Enter a new name, and click the green checkmark.

Deleting a Favorite or Folder

Select the favorites or folders you want to delete. Choose Favorites ® Delete.

Moving Favorites and Folders

To move favorites or folders within a hierarchy level, select the favorite or folder you want to move. Choose Favorites / Move / Up/Down; or choose Move favorites downwards /Move favorites upwards.

OR

Drag and drop the selected favorites or folders to the desired position in the favorites list.


 

MULTIPLE SESSIONS

A session is basically another SAP instance on your screen. Multiple sessions allow you to work on more than one task at a time.

You may open up to six sessions and perform a different task, or even the same task, in each one. You can move around between the open sessions, and you can close any session without having to log off from SAP.

If you try to work on the same purchase requisition at the same time in multiple sessions, you may "lock yourself out" of one of the sessions. If this happens, choose Exit or Back to move out of the transaction.


CREATE A NEW SESSION

You can create a session at any time. You do not lose any data in sessions that are already open. Choose System / Create Session from the main menu bar, or .

SAP opens an additional window. The new session becomes the active session and remains the active session unless you click on a different (open or new) session.

Each session has a session number, which appears in that session’s status bar. It appears in parentheses next to the system name.

SHORTCUT TO DESKTOP

Using SAP Shortcuts, you can start an SAP transaction or execute a system command directly from your desktop. Shortcuts eliminate the need to navigate through menus to access screens. This is particularly useful for tasks you run regularly.

Creating an SAP Shortcut for Your Desktop

  1. While in an SAP transaction, choose
  2. Check the information in the dialog box (User name, Language, Type, Title, Command) is correct.
  3. In the Title field, enter the shortcut title.
  4. In the Command field, enter the appropriate code. For example, to create a shortcut that takes you to Create Purchase Requisition, enter Transaction Code ME51N.
  5. Choose Ok.
  6. The shortcut appears on your desktop.

    The system automatically saves the <NAME>.SAP file corresponding to this shortcut in your desktop directory under your operating system directory. If you prefer to keep all your SAP Shortcut files in one place, you can move this file to a directory of your choice.
